When researching software for your jewellery business, you will encounter two categories: POS (point-of-sale) systems and ERP (enterprise resource planning) systems. Vendors sometimes use these terms interchangeably, which adds to the confusion. In reality they describe different scopes of functionality — and understanding the difference will help you ask better questions and avoid buying something that only solves half your problem.
A POS system is focused on the transaction at the point of sale. In a jewellery context, this means:
A well-built jewellery POS handles all of this quickly and accurately. Counter staff can serve customers without knowing anything about the underlying pricing calculations — the system handles the arithmetic based on the parameters set by management.
The limitation of a pure POS is that it stops at the transaction. It tells you what was sold today. It does not tell you the current value of your total stock, how much gold is with your craftsmen, which branch has the strongest performance this quarter, or whether your gold saving scheme balances are reconciled.
An ERP system covers the full business operation — not just the sale, but everything that supports and surrounds it. In a jewellery context, ERP functionality includes:
An ERP system includes the POS capability, but it also covers everything that happens before the sale (manufacturing, stock management, reservations) and after it (returns, payments, reporting, auditing).
Jewellery retail is unusual in that even small businesses routinely deal with workflows that most retailers would consider "enterprise" territory. A single-branch jewellery shop with three staff may still need to manage manufacturing (gold issued to a local craftsman), old gold purchases (daily), gold saving schemes (dozens of active accounts), layaway (multiple outstanding reservations), and multi-purity stock (22KT, 18KT and more). This is ERP-level complexity even at a modest business scale.
A business that buys a POS-only system and tries to manage manufacturing in a spreadsheet, saving schemes in a ledger, and stock valuation in their head is not saving money — they are creating a system that will break as they grow and that leaves them blind to critical financial information.
Some businesses attempt to combine a retail POS with a separate accounting or ERP package. The theory is that they get the best of both worlds. In practice, separate systems create integration headaches that are never fully resolved.
Data has to be transferred between systems — either manually or via an integration layer that itself requires maintenance. The two systems use different data structures, so a "customer" in the POS is not automatically the same record as a "customer" in the ERP. When a sale is made in the POS, the stock level in the ERP does not update until the sync runs. If the sync fails or runs late, your ERP figures are wrong.
For jewellery businesses specifically, where the gold rate affects every figure in the system, a time lag between the POS and the ERP creates valuation inconsistencies that compound daily. The clean solution is a single integrated system that handles both billing and business management in one database.
When evaluating jewellery software, look for a system where the following are all managed within the same platform — not through integrations or add-ons:
If any of these are listed as "optional modules" that require a separate subscription or integration, factor the true total cost and the integration risk into your decision.
The POS vs ERP distinction is less important than whether the system you choose covers all the workflows your business actually needs. For most jewellery businesses — even relatively small ones — that means a system with integrated ERP capability, not a standalone billing tool.
