πŸ’³ What is Credit Sales Part Payment?
When a customer purchases jewellery on credit β€” meaning they take the item but don't pay the full amount at the time of sale β€” the outstanding balance is collected later using the Part Payment screen. Each payment reduces the credit balance until it is fully settled.

Stock Invoice β€” Item Sold on Credit
Cashier creates a normal Stock Invoice. The payment mode includes CREDIT for the unpaid portion. The item is given to the customer. Invoice is saved with an outstanding credit balance.

Part Payment β€” Collecting the Credit Balance
Customer returns to pay some or all of the outstanding credit. You look up the invoice, enter the amount being paid now, and record it. Each payment reduces the balance. You can collect in multiple instalments.

Invoice Fully Settled
Once total part payments equal the original credit amount, the invoice is marked as settled. No further part payments can be recorded.

Important: This screen only works for invoices that had a CREDIT payment mode at the time of sale. If an invoice was paid fully in cash or card, it cannot be used here.

A unique Part Payment Number (e.g. PP-A00045) is generated for every payment session. Multiple payments can be made against the same invoice β€” each gets its own PP number and is tracked separately.

πŸ” Step 2: Find the Credit Invoice
Enter the original Invoice Number from the customer's receipt. The system checks that the invoice has an outstanding credit amount and has not already been fully settled.

The system checks two things: first, that the invoice has a CREDIT payment record. Second, that the credit has not already been fully settled by previous part payments. If either check fails, payment cannot be recorded.

Enter how much the customer is paying now and record the payment mode. The amount you enter here must exactly match the total of payment entries you add below.

Check 1: Invoice has a credit record
The invoice must have a CREDIT payment entry from the time of sale. Plain cash or card invoices cannot have part payments.

Check 2: Credit balance is not already settled
If previous part payments have already covered the full credit amount, no further payment can be recorded.

Check 3: Part amount field matches payment total
The "Part Payment Amount" entered at the top must exactly equal the total of all payment entries added. Any mismatch is rejected.

Check 4: Payment does not exceed outstanding balance
The payment amount cannot be more than the remaining credit balance owed.

The payment is saved and the credit balance is reduced. A receipt is generated with the PP Number. The customer receives an SMS if enabled showing the amount paid and remaining balance.

If SMS is enabled, the customer receives:

"Dear Customer, Your part payment has been received…"

The SMS shows the amount paid now and the remaining balance β€” keeping the customer informed of what they still owe. SMS is controlled by your administrator.

Multiple payments: If the customer cannot pay the full balance today, you can record another part payment next time they visit β€” using the same invoice number. Each payment reduces the balance until it reaches zero and the invoice is fully settled.
